Credit and Collections Coordinator

Innovative Office Products is seeking a Credit and Collections Coordinator to join our Accounting and Finance team. The Credit and Collections Coordinator is responsible for performing selected credit, collections and decision-making functions of the accounting department. The position will establish credit limits, evaluate new orders and monitor payment status of customers. In addition, this position will collect delinquent accounts using collection letters and calls and assist other staff members with special projects.

Job responsibilities include:

  • Process credit applications, including obtaining bank and credit references.
  • Establish customer account in accounting software with proper credit limits and terms based on credit application and references.
  • Perform customer account maintenance (i.e. accounting contact, invoice address, etc.).
  • Respond to customer credit inquiries from external and internal sources.
  • Monitors past due customers and follow up with customers and sales representative as appropriate.
  • Review credit limits on an ongoing basis.
  • Work with Customer Service to clear shipments from credit hold status so that orders can ship when credit- related issues are resolved.
  • Perform other duties as assigned.

Job requirements include:

  • High School diploma or equivalent. Secondary degree preferred.
  • 3-5 years experience in processing customer/vendor transactions.
  • ERP system experience. Syteline preferred.
  • Excellent written and verbal communication skills.
  • Organization, prioritization, and multitasking skills.

Quality Assurance Technician

Innovative Office Products, LLC seeks a Quality Assurance Technician. This position participates in the inspection of materials, quality audits, problem investigation, and root cause analysis. The position, as part of the Quality team, will provide support, direction, and leadership to the manufacturing teams.

Job responsibilities include:

  • Perform incoming inspections of parts and materials for conformance to drawings, documentation and material certifications.
  • Assist with First Article inspections for conformance to drawings and documentation.
  • Perform testing and execute inspection methods used to identify defects and problems within the process.
  • Maintain inspection equipment, tools, fixtures and gauges to meet the specified requirements and/or calibration procedures.
  • Communicate non-conformance issues to Quality Manager, Quality Team Leader and other Engineering groups.
  • Perform in-process Inspection, final inspection, and internal audits as requested.
  • Track and manage non-conforming material.
  • Responsible for containment, problem investigation, and root cause analysis of any non-conformant material or product found during daily inspections.
  • Maintain any Quality records and databases that are the result of non-conforming material, deviations, first articles, or equipment calibrations.
  • Contribute to continuous improvement of the QA receiving inspection process and procedures.
  • Compile data and prepare QA reports and metrics.
  • Perform other duties as assigned.

Qualifications include:

  • High School education or equivalent.
  • 3 years experience in quality inspection or auditing.
  • Experience in a manufacturing environment preferred.
  • Knowledge of quality management systems.
  • Working understanding of assembly methods, fixtures, tooling, and fabrication methods.
  • Knowledge of and ability to use measurement tools; Calipers, Micrometer, Coating thickness Gauges, etc.
  • Knowledge of and ability to use Coordinate-Measuring Machines.
  • Ability to recognize geometric dimensioning and tolerance symbols, and inspect parts against them.
  • Proficient in reading technical drawings.
  • Knowledge of Lean Manufacturing Principals preferred.
  • Strong analytical and troubleshooting skills.
  • Excellent written and verbal communication skills.
  • Ability to work in a fast paced environment and handle/organize multiple complex technical projects simultaneously.
  • Self-starter, organized, highly adaptive and flexible, and ability to work with minimal supervision.

WAREHOUSE AND LOGISTICS MANAGER

Innovative Office Products seeks a Warehouse and Logistics Manager. This position leads and manages the warehouse and receiving groups and coordinates transportation and logistics services. The Warehouse and Logistics Manager designs and implements processes and procedures to ensure the most efficient operation of warehouse activities and effective logistics operations. The position is also responsible for the safe, accurate maintenance of production materials.

Job requirements:

  • Management of the warehouse and receiving groups, including ongoing assessment of team member performance and identification of training and improvement needs.
  • Develop, improve, and implement procedures that promote the most efficient and effective movement and storage of materials including transportation services, and warehousing/storage activities.
  • Maintain accurate inventory records: ensure transaction accuracy, manage physical inventories and cycle counts.
  • Manage the material handling equipment program–forklifts, pallet jacks, etc., including training of all staff using the equipment.
  • Generate inventory reports and investigate/resolve discrepancies between inventory records and actual counts.
  • Manage operational resources on a daily basis as needed to meet production demands.
  • Evaluate logistics services providers to determine effectiveness. Suggest and implement changes to improve service levels. Interact and negotiate with providers as needed.
  • Coordinate domestic and international inbound materials activities, including arrangement of transportation, Customs clearance, offsite storage, and material handling activities.
  • Interact and collaborate with other department managers and staff to ensure production needs are effectively met.

Qualifications include:

  • Bachelor’s degree or demonstrated equivalent experience
  • Formal supervisory training
  • 3-4 years experience in a supervisory role in a warehouse/ distribution environment
  • Knowledge and understanding of transportation industry terminology and documents
  • General understanding of the transportation industry, including the various types of service providers and their interaction
  • Knowledge of and ability to interpret domestic and international shipping documentation
  • Understanding of international shipping including transportation modes and procedures, import regulations, documentation, etc.
  • Excellent written and verbal communication skills
  • Ability to coach and mentor staff members
  • Good time management skills, including ability to effectively prioritize duties and assign responsibilities
  • Working knowledge of material handling systems and procedures best practices
  • Ability to develop, maintain, and present performance metrics
  • Strong computer skills including Microsoft applications and ERP systems
